The entry can be completed by the sponsor, rights holder or associated agency. However, the applicant must make all parties aware of the entry and all should agree that the entry is a true reflection of the sponsorship. Contact details for each party should be supplied. The parties should agree upon the correct title and reference for the sponsorship project.
All applicants must be based in Europe, and all projects submitted must reflect activity based within at least one European market.
The major part of a sponsorship project entered must have taken place between 1 March 2010 and 1 September 2011.
A single sponsorship project may be entered in a maximum of two categories, plus the International category if applicable. Where a sponsorship project is entered in more than one category, separate entry forms must be used for each category entry, tailored as appropriate for each category.
Previous ESA Awards winners are not permitted to re-enter the same project in any subsequent year.
Entries must be completed in English. As a pan-European body, ESA welcomes entries from individuals for whom English is not the first language.
For entries to be valid, payment must reach ESA by the closing date.
Entries will be judged solely on the information given in the entry form, and permitted supporting material. No additional supporting material will be considered by the judges. The judges’ decision will be final and no correspondence will be entered into. A short-list of entries in each category will be announced and the winners of each category will be announced at the Awards Ceremony in November.
Organisations responsible for short-listed sponsorship projects will be urgently required to provide any relevant visual images, video material and such other reasonable additional information as requested for possible use in the Awards Ceremony presentation, within the timeline requested by ESA. Failure to do so may result in the disqualification of the entry, and ESA may in such circumstances add a replacement to the short-list (but shall not be obliged to do so).
Short-listed entries shall ensure that necessary consents and clearances are secured in relation to logos, trademarks, images, audio-visual material and any other material and information supplied to ESA for use at the Awards Ceremony and in publicity materials produced in relation to the ESA European Sponsorship Awards. They shall further ensure that the use of any such material and information shall not in any way be unlawful or contrary to applicable regulations. ESA shall not be responsible for clearance, and the applicant shall indemnify ESA and its directors, officers and suppliers against any and all loss, damage, liability and expenses (including but not limited to legal costs) arising from any failure to comply with this.
Short-listed applicants agree to appoint a representative at the Awards Ceremony on Tuesday 22nd November 2011 in Amsterdam, The Netherlands. Attendance is at applicants’ own cost and expense.
Applicants shall ensure that, with the exception of confidential financial details, ESA may use all information contained within the entry form for publicity and promotional purposes of any nature – including as part of future case-studies or as examples of best practice in training and education events, whether before, during, or after the Awards, without any need for further clearance or approval, and that all moral rights in such material are waived.
It is a condition of entry that photos of winning applicants’ representatives may be used by ESA for press and publicity purposes in connection with the Awards and the ESA annual conference. Applicants shall ensure that their representatives consent to this.
ESA reserves the right to cancel or postpone the Awards at any stage. In the event of such cancellation, entry fees received will be fully refunded. ESA shall not be liable in respect of any additional costs or consequential losses incurred by applicants as the result of such a cancellation or postponement.
